The workflow begins when a Statement of Work gets signed in DocuSign. Zapier monitors DocuSign for completed envelopes, automatically detecting when a new SOW is executed. The moment a signature is captured, Zapier extracts client information and initiates the onboarding sequence.

The team built the workflow using Zapier's modular architecture, creating Sub-Zaps: discrete workflows that handle specific tasks like folder creation and document duplication. This design allows the team to update individual components without rebuilding the entire system. SoftSnow's Sales team maintains all prospect information in a dedicated Prospecting folder within Google Drive. When a prospect becomes an active client, Zapier automatically moves that folder to the Active Clients directory, preserving the complete engagement history collected by Sales.

Zapier then builds out any missing subfolders, duplicates each of the 13 templates, cross-references internal naming documentation to identify the client's acronym, renames all documents using that standardized convention, and sorts them into their designated subfolders automatically. What previously required hours of manual work now happens in minutes.
