For the Legal Assistant, the firm's reference materials were organized into subject-based folders in SharePoint and synced to Cassidy. This created a knowledge structure designed around legal topics rather than individual case files.
The AI Legal Assistant acts as a law professor and mentor for the firm's legal team. When an associate asks a question, the agent searches only the materials the firm has provided, including CLE resources, legal references and internal SOPs.
The agent does not search the open internet or pull information from external sources. Its responses are grounded in documents controlled by the firm and include citations that attorneys can verify against the original material.
To make retrieval more reliable, the knowledge base is organized by subject area. Large source documents can be divided at logical chapter or section breaks and labeled so the agent can identify the relevant material more efficiently.
When a question comes in, the agent follows a defined retrieval process:
- Identify the subject area: The agent locates the folder associated with the legal topic.
- Reference the table of contents: It uses the folder's structure to identify where the relevant information is likely to appear.
- Retrieve the source: It locates the appropriate document, page or section and returns its answer with supporting citations.
This structure helps limit retrieval to the relevant body of material and reduces the risk of an answer drawing from unrelated legal sources.
